SEO for MSPs: Small Head Terms, Long Buying Cycles, Large Contracts

SEO for MSPs is the work of getting a managed service provider found in Google, in the map pack and in AI shortlists when a business searches for IT support, outsourced help or proof of a compliance requirement. Head-term volume is small and contract values are large, so the job is being findable for problem-shaped searches and keeping consumer repair work out.

The SEO checklist for IT companies and MSPs

  1. Split fully managed, co-managed and project work into separate pages

    These are three different buyers with three different objections. An owner buying fully managed wants to stop thinking about IT. An internal IT manager buying co-managed wants help without losing control of their environment, and will leave a page that talks about replacing them. Project pages exist to catch the migration or refresh that becomes a contract later.

    Three top-level service pages, plus a page each for the projects you sell standalone: cloud migration, network refresh, Microsoft 365 tenant work, office relocation.

  2. Publish one page per compliance framework you genuinely support

    Compliance deadlines create searches with a date attached, and the person searching has authority to buy. Describe what the rule requires, which parts you take on, what stays with the client and what evidence the auditor or insurer will want. Do not claim to deliver a framework you have never worked through.

    Start with the ones with hard citations: CMMC under DFARS clause 252.204-7021, the FTC Safeguards Rule at 16 CFR 314.4, HIPAA business associate obligations under 45 CFR 160.103, and the cyber insurance questionnaire your clients keep failing.

  3. Write the pages your buyer searches at 2am

    Problem-shaped queries are where MSP demand actually lives, and almost nobody writes for them. Each page names the situation, explains what is probably happening, says what the fix involves and what it usually costs to put right, then offers a call. These pages rank quickly because the competition for them is thin.

    Pages for situations like email being spoofed from your own domain, a failed insurance questionnaire, the only IT person resigning, a shared password spreadsheet, and a server nobody has patched since a staff departure.

  4. Publish your pricing structure even if you will not publish a number

    Per user, per device, tiered or all-inclusive, plus what falls outside it. A buyer comparing three MSPs cannot compare anything if all three hide the model, and the one that explains it gets the meeting. Say what onboarding costs and what happens at renewal.

    A pricing page that names your unit of billing, your minimum seat count, what is in scope, what is billed hourly, the onboarding fee and the notice period.

  5. Filter consumer break-fix work out on purpose

    The most common reason an MSP concludes that search does not work is that it delivered residential laptop calls. Those queries are larger than the commercial ones and they exhaust the same phone line. Decide once that you are not competing for them, then keep the site consistent with that decision.

    No consumer repair pages, no 'Computer repair service' category on the profile, negative keywords in any ad account, and a line on the contact page naming the minimum size of business you take on.

  6. Set the Business Profile to 'Computer support and services' and get the address right

    Most MSPs work at client sites and in a back office nobody visits, which makes them a service-area business in Google's terms. Listing an unstaffed coworking desk or a data centre suite is a common route to a suspended profile.

    Google says to remove the address when clients do not come to you. Set service areas by city or region, up to 20 of them, with the outer edge within about two hours of driving from your base.

  7. Build vertical pages only where your existing clients already cluster

    A generic industry page reads like everyone else's. What makes a vertical page convincing is naming the software those clients run and the constraints that come with it, because that is what a prospect in the same field will search for and recognise.

    Name the practice management, dispatch or ERP system you support and what you have done with it, rather than writing 'we serve healthcare, legal and manufacturing'.

  8. Make partner tiers, audits and certifications checkable in text

    Logo walls are invisible to search engines and unconvincing to a technical buyer. Write the designation out, name the auditor and the report period, and list the certifications your engineers hold by name. Never paste a vendor's own marketing copy onto your site, because dozens of other MSPs have pasted the identical text.

    Write it out: the exact partner designation you hold, the type and period of your most recent audit report, and the named certifications your team holds.

  9. State the facts that qualify or disqualify a prospect before they call

    Two thirds of B2B buyers would rather decide without speaking to anyone, so the page has to do the qualifying. Put the boundaries in writing and you get fewer calls and better ones.

    Seat range you serve, industries, response-time commitments in your service agreement, whether after-hours coverage is included or billed, and the states or regions you cover.

  10. Track opportunities and signed monthly revenue over a full sales cycle

    A 90-day judgement on this work is meaningless when the buying process takes six to eighteen months. Store first-touch source on the CRM record at creation and report on it when the deal closes, not when the form arrives.

    Add a first-touch source field that cannot be overwritten, and review closed contracts by source every quarter with the original touch date attached.

  • Published 2026 category lists include no 'Managed service provider' or 'Managed IT services' category. 'Computer support and services' is the closest match, so the managed language goes in your services list and description.
  • Leave 'Computer repair service' off unless you want consumers carrying laptops to your door. The category is a magnet for exactly the work you are trying to stop taking.
  • Add 'Computer security service' only if security is something you sell as its own engagement, because it will pull in enquiries you then have to qualify out.
  • Local rank is decided by relevance, distance and prominence, and Google says a better local position cannot be bought, so an MSP in an office park will not outrank a downtown competitor by paying for it.
  • Business clients leave few reviews, so ask the named person whose problem you solved, within a day of solving it, and ask for a sentence about the problem rather than about your company.
  • Post photos of your own operations centre, engineers on site and onboarding documentation. Stock images of server racks are recognisable and every competitor uses them.

Getting found in ChatGPT and Google's AI answers

A large share of MSP evaluation now happens without anyone calling you. Gartner's survey of 646 B2B buyers, published in March 2026, found 67% prefer a buying process without a sales representative and 45% had used AI tools during a recent purchase. Those buyers ask ChatGPT or Perplexity for a shortlist with constraints attached: an MSP near a city, for a seat count, with a specific certification or framework. Getting named in that answer depends on whether the qualifying facts exist in readable text anywhere, and most MSP sites keep them in a PDF, a logo strip or a sales deck.

  • Write the constraints into text: minimum and typical seat counts, industries, frameworks supported, coverage hours, geographies, and the platforms you standardise on.
  • Answer each compliance question directly and cite the rule, because a specific citation is what a tool needs to repeat your answer with confidence.
  • Publish an honest comparison of the alternatives, including an internal hire, co-managed support and break-fix, with the point at which each one is the better choice.
  • Keep structured data on the site describing the organisation, the areas served and what it knows about, so the machine-readable version matches the page.
  • Every quarter, ask each tool for an MSP shortlist matching your city and seat range, note whose pages get cited, and read those pages rather than guessing.
  • Fix wrong facts at the source, which for MSPs is usually an old directory profile, a vendor partner listing, or a review site page you have never logged into.

How much does SEO for IT companies and MSPs cost?

For an MSP the work is mostly writing: service pages for the three buying models, compliance pages, problem pages, vertical pages and a pricing page, plus the profile, technical fixes and links. Price moves on how many verticals and frameworks you want to own and how much of the technical detail your engineers will supply.   • How many frameworks and verticals get their own pages, since each needs an engineer's input and cannot be written from a template.
  • Whether your team will sit down for a content interview. The detail that makes these pages rank is knowledge only your engineers have.
  • The condition of the site. Many MSP sites are vendor-supplied templates where pages cannot be added and the text is shared with competitors.
  • How much consumer traffic you need to unwind, including old repair pages and categories that still pull the wrong enquiries.

Turn rankings into booked jobs: answer every call

Two kinds of phone call decide an MSP's year. The first is a prospect whose current provider did not pick up, calling around during an outage, and the firm that answers is usually the one that wins the account. The second is an existing client reporting something that turns out to be a security incident. Both tend to arrive outside business hours, and both are handled badly by a voicemail box promising a response next working day.

  • 'Answering service for it companies' gets about 390 US searches a month at about $103.12 per click (Google Ads data via DataForSEO, September 2026). That is a high price for a small term, and a sign the firms searching know what a missed call costs.
  • Do the arithmetic with your own figures: your average contract value per seat, times a typical seat count, times how often a first call converts, is what one unanswered outage call is worth.
  • An AI receptionist can check whether the caller is an existing client, take the affected site and seat count, classify an outage against a security incident, and page the on-call engineer rather than leaving a message.
  • Set the rules tightly before it goes live: never take credentials, never arrange remote access, never confirm which clients you work with, and escalate anything that sounds like ransomware or a wire fraud attempt to a person immediately.
  • Route prospect calls differently from support calls. A prospect asking about pricing at 7pm should reach a booking flow, not a ticket queue.

Common SEO mistakes IT companies and MSPs make

  • Ranking for consumer computer repair terms and calling the result a failure of search. Remove the consumer pages and the repair category, add negative keywords, and state a minimum business size on the contact page. The channel was not the problem; the targeting was.
  • One 'IT Services' page covering managed, co-managed, security, cloud and projects. Separate them. Fully managed, co-managed and each standalone project need their own page, because they answer different objections.
  • Showing partner and certification logos with no text anywhere. Write the designations, audit report type and period, and engineer certifications out in words. A logo is not indexable and not verifiable.
  • Publishing the website your vendor's marketing package supplied, unchanged. Rewrite it. Shared template text appears on dozens of competitor sites and gives a search engine no reason to prefer yours.
  • Reviewing the work after 90 days and cancelling. Match the reporting window to the buying process. Track first-touch source at lead creation and report closed contracts against it six to eighteen months later.
  • Listing a coworking desk or data centre suite as the business address. Use the service-area setup instead. A profile at premises you do not staff invites suspension, and a suspension removes your map visibility entirely.
  • Claiming support for frameworks you have never worked through. Publish only what you can evidence. A buyer with a compliance deadline will ask for the detail on the first call, and a thin answer ends the process.

How long does SEO take for IT companies and MSPs?

  1. Month 1

    Audit what the site currently attracts, strip out consumer repair content, correct the Business Profile category and service area, set up first-touch source tracking in the CRM, and book recurring engineer time for content interviews.

  2. Months 2-3

    Publish the three service-model pages, the pricing structure page and the first two problem pages. Problem queries and 'msp near me' style local terms are usually the first things to move.

  3. Months 4-6

    Add the compliance pages with citations, the vertical pages matching your existing client base, and the comparison content. Start earning links from vendor partner directories, industry associations and client press coverage.

Can MSPs use Google's Local Services Ads?

No. Google's Local Services Ads categories cover home services, legal, financial planning, health, wellness and similar fields, and the 2026 list has no IT or technology category.
